We have an exciting opportunity for an administrator to join our busy and expanding Stock Team based at our brand-new state of the art head office in Eurocentral. The role of the Stock Administrator is to ensure the stock bought by buyers is recorded on the system, all invoices are obtained, and stock is onsite. For this role we are looking for someone who has a strong administration background, excellent organisation skills and attention detail.
What you will be doing:
- Responsible for contributing to the management of the purchase sheet. Liaising with suppliers to obtain invoices promptly after any vehicle has been purchased.
- Liaise with buyers daily to ensure everything that is purchased has been recorded on the purchase sheet.
- Arrange transport for all vehicles purchased where delivery has not been included.
- Process all payments within a timely manner to ensure we receive all vehicles as quickly as possible.
- Ensure no vehicles are paid for until the day of collection, when we are not buying from a recognised supplier. This must be as close to the collection time as possible.
- Run a stock list every morning and chase any outstanding purchases that have not arrived yet, red alerting any that are 7 days or over to the Head of Used Car Stock
- Ensure that no vehicle is ICT’d out of stock unless it has physically arrived at the receiving dealer.
- Carry out a weekly conference call with the Head of Used Car Stock and the buyers
- Ensure an NMR Investigation is raised for any vehicle with a mileage discrepancy. This must be resolved within 7 days with either sign off from the Head of Used Car Stock to accept the vehicle or reject it.
- Ensure that a monthly stock audit is carried out on the 1st of every month for any vehicle sitting in New Car Stock
